How to Ceate Automatic Response Massage

You can create automatic response massage in Outlook to some or all people who send you Email massages.Without an Exchange Server account, you can combine an Outlook e-mail template with Outlook rules to reproduce the functionality of the Out of Office Assistant available only to Exchange Server account users. By using this combination, you can use your e-mail account to send automated replies to incoming messages. This post provide Microsoft Outlook Support to create Automatic Response massages against your incoming email.

Follow the Steps to create Automatic Response

Create a message template
1. On the File menu, point to New, and then click Mail Message.
2. On the Options tab, in the Format group, click Plain Text.
3. In the message body, type the message that you want to send as your automated reply.
4. In the message window, click the Microsoft Office Button  and then click Save As.
5. In the Save As dialog box, in the Save as type list, click Outlook Template (*.oft).
6. In the File name box, type a name for your message template, and then click Save.

Create a rule to automatically reply to new e-mail messages
1. On the Tools menu, click Rules and Alerts.
2. In the Rules and Alerts dialog box, click New Rule.
3. Under Start from a blank rule, click Check messages when they arrive, and then click Next.
4. Under Which condition(s) do you want to check?, select the sent only to me check box and any other criteria that you want, and then click Next.
5. When you see a dialog box informing you that this rule will be applied to every message that you receive, click Yes.
6. Under What do you want to do with the message?, select the reply using a specific template check box.
7. Under Step 2: Edit the rule description (click an underlined value), click a specific template.
8. In the Select a Reply Template dialog box, in the Look In box, click User Templates in File System.
9. Select the template that you created in the previous section, and then click Open.
10. Click Next.
11. Optionally, select the check boxes for any exceptions to the auto-reply rule.
12. Click Next.
13. Under Step 1: Specify a name for this rule, type a name for the auto-reply rule, and then click Finish.

How to Create a Second PST File

Today I am going to discuss how to create .pst file in microsoft Outlook 2007. You can create Second copy of .pst file. The following miocrosoft outlook support steps help you to create second PST file

1. On the File menu, click New.
2. Click Outlook Data File.
3. Use one of the following methods, as appropriate for your situation:
* Outlook 2002: Click Personal Folders file (.pst) if more than one option is listed, and then click OK.
* Outlook 2007: If the other computer uses Microsoft Office Outlook 2003 or Outlook 2007, click Office Outlook Personal Folders File (pst), and then click OK. If the other computer uses Outlook 2002 or an earlier version of Outlook, click Outlook 97-2002 Personal Folders File (.pst), and then click OK.
4. Provide a descriptive file name, such as Shared.pst, in the Create or Open Outlook Data File box, and then click Open.
5. Type a display name for the .pst file, such as Shared Folders, and then click OK.

How to Change Default Font When Composing E-Mail in Outlook

When using Outlook Express in Windows XP, if you send HTML e-mail, you know that you can change the font, color, style, and other text attributes inside messages. If you have a favorite combination you wish to use it can be set as the default by doing the following:

Note that as with other special attributes in HTML e-mail, if the recipient chooses not to receive e-mail as HTML, this default setting will be ignored and the font will be chosen by the recipient’s e-mail software.

1. Click the “Tools” menu, selecting “Options”.

2. The “Options” multi-tabbed dialog box appears. Click the “Compose” tab.

3. Underneath “Compose Font”, click the “Font Settings” button next to “Mail”.

4. A “Font” dialog box appears. From here you can choose the default font name, style, size, color, and effects. A “Sample” box shows a preview of your changes. When you have finished your selections, click the “OK” button.

5. Click “OK” to close the dialog box.

How to Remove Deleted Messages Automatically

Configure Outlook Express to automatically removed deleted messages when you exit the software.When you delete messages, such as e-mail messages, in Outlook Express in Windows XP, the messages normally are not deleted immediately but placed in a “Deleted Items” folder.

As this folder can quickly take a lot of hard drive space if you remove messages from a large Inbox, Outlook Express can be configured to automatically remove the contents of this folder every time you exit the software.

1. Click the “Tools” menu, selecting “Options”.

2. The “Options” multi-tabbed dialog box appears. Click the “Maintenance” tab.

3. Underneath “Cleaning up Messages”, check “Empty messages from the ‘Deleted Items’ folder on exit”.
